Constitution of the Good Intents UK Camping Club.

Constitution

  1. TITLE
    1. The title of the club shall be GOOD INTENTS UK CAMPING CLUB hereinafter referred to as THE CLUB.
  2. AIMS of the club shall be to: -
    1. Promote good fellowship amongst all its members and their families.
    2. To provide past, present and future customers of Go Camping UK a club structure and means gathering and developing their friendship and interest in camping. Organise camping and/or cycling events / rallies of interest to its members.
  1. MEMBERSHIP
    1. Membership shall be open to all people aged 18+.
    2. Applications for membership shall be by means of a form prescribed by the committee giving such information as may be required or by assumption when booking a place at an event or rally organised by the club.
    3. Lifetime membership is gained by paying a one off fee set at the AGM.
    4. Membership is for the person only although they may invite guests and be responsible for them.
    5. All details of membership will be maintained by the membership officer to whom any enquiries on membership should be addressed. Notice of change of membership details must be given to the membership officer.
    6. Membership may be withdrawn at the discretion of the committee. The member will have the right of appeal and to appear before the committee to state the case for continuation of membership.
    7. All members and their guests are deemed to subscribe to the Country Code and also the Coastal Code and the code of conduct of the club.
  2. MANAGEMENT
    1. The affairs of the club shall be administered by the committee in accordance with the terms of this constitution.
    2. The property, assets and income of the club shall be applied solely for the benefit of the club and its members or for the purpose of donations to charity as decided at the A.G.M. by the members.
    3. The club shall be independent from Go Camping UK but may draw on the resources of Go Camping UK especially in the provision of pre-pitched tents subject to agreement between the club and Go Camping UK.
    4. Management of the club shall be under the overall control of a committee elected from the membership by the members at each A.G.M. and comprising of a CHAIRMAN, SECRETARY and TREASURER, with up to six but no less than three committee members. All members of the committee will serve a term of one year and may stand for re-election. All money in the name of the club shall be deposited in a bank approved by the A.G.M., in the name of Good Intents UK Camping Club. All cheques will require the signature of the Treasurer and any ONE of the authorised members of the committee.
    5. In order for a committee meeting to take place a quorum (the majority) of the full committee must be present.
    6. In the event of a vacancy occurring in respect of any position on the committee, the remaining members of the committee may appoint any willing club member to serve on committee until the next A.G.M. subject to 4c. The appointed member will have full voting rights
  3. EVENT MANAGEMENT & CONDUCT
    1. The sites used for club events will be used with the full consent of the landowner and will not contravene any relevant government department rules or legislation relating to the use of land for Touring Caravan or Tent purposes.
    2. All members and their guests are required to observe the club’s Code of Conduct, Country Code, Camping Code and also the Seashore Code and to assist Rally Officers; in maintaining adherence to the criteria for rallies as laid down by the relevant government body.
    3. The committee reserves the right to withdraw the membership of any member who persistent refuses, despite warning from the committee, to abide by the constitution and code of conduct of the club or who persistently behaves in such a way that he/she jeopardises the spirit of friendship and co-operation that is the cornerstone of the club.  Such decision will be notified in writing to the member with immediate effect.
  4. NOTICE TO MEMBERS
    1. Due notice of any matter, including convening of any meetings, shall be deemed to have been given.
      1. By announcement on the clubs website and by email.
      2. Any member may request an advance copy of the agenda, proposed motions and nominations for office to be considered at the forthcoming Annual General Meeting. Requests, accompanied by an A4 stamped self addressed envelope must reach the Hon. Secretary not later than 6 weeks prior to the Annual General Meeting.
    2. Due notice of any matter to be considered at the Annual General Meeting shall be deemed to have been given to all members.
      1. If a member attending the meeting in person is handed a copy of the agenda containing the motions and/or nominations upon arrival at the venue.
      2. If, not less than 28 days prior to the date of the meeting, copies of the agenda and proposed motions are sent to each member requesting them using the envelope provided for that purpose.
    3. NOTE: It is the responsibility of all members attending the A.G.M. to obtain a copy of the agenda and associated documentation prior to commencement of this meeting.
  5. ANNUAL GENERAL MEETING
    1. One general meeting designated as an Annual General Meeting, will be held every calendar year. A minimum of 6 weeks notice of that date, time and venue shall be given to all members by announcement on the club website.
    2. The only matters to be formally dealt with at the Annual General Meeting shall be as follows:-
      1. To receive reports from the Chairman, Treasurer, Secretary, and Rally Secretary, and all matters arising from reports.
      2. To elect the Chairman, Treasurer, Secretary and committee members for the following year.
      3. To consider any proposals of which due notice to members has been given.
      4. Any other Business
    3. Propositions for consideration at the A.G.M. must contain the names and membership numbers of the Proposer and Seconder, and signed by both and received by the Secretary not less than six weeks before the meeting.
    4. There must be a separate nomination for each committee position. Each nomination form must contain the names and signatures of the Nominee, Proposer and Seconder and must reach the Secretary not less than six weeks before the meeting.

 

  1. EXTRAORDINARY GENERAL MEETING
    1. The committee may convene an Extraordinary General Meeting at such time and for such purpose as it directs
    2. An Extraordinary General Meeting must also be convened by the Secretary on receipt of a requisition in writing and signed by no fewer than 12 members. The requisition shall show the name and membership number of each member signing it and state the full details to be put to the meeting.
    3. Notices of an Extraordinary General Meeting may be sent to all members either individually or by Newsletter. At least 28 days notice shall be given.
    4. The only matters to be discussed at the meeting shall be those detailed in the notice to members.
  1. VOTING AT A GENERAL MEETING
    1. A member is entitled to one vote in respect of each item on the agenda.
    2. The election of members of committee shall be by secret ballot. The successful candidate in each case being determined by the person polling the largest number of valid votes cast.
    3. Other resolutions shall be decided by a show of hands and the declaration of the result of the vote by the Chairman shall be final and binding.
  2. AMENDMENTS TO THE CONSTITUTION AND RULES
    1. Amendments to the constitution can be made at a General Meeting. Amendments to the Constitution carried at any meeting, will take immediate effect.

 

  1. LIABILITY
    The club is not responsible for or liable for the actions of its members and any injury or accident caused by them.
    • DISSOLUTION OF THE CLUB
  1. Voluntary dissolution of the club requires a resolution to be passed at a General Meeting. In the event of the winding up of the club, any assets and monies deposited in the clubs name shall, after payment of any outstanding debts incurred by the club be disposed of by a majority vote of members attending a meeting called to discuss such action.
